Annual Review

The annual review is a regular, confidential, and structured dialogue aimed at enhancing job satisfaction and supporting the professional development of all employees.

Managers and employees jointly reflect on the past working year, share insights into their current work situation and collaboration, identify potential opportunities while considering existing and future framework conditions, and—if desired—agree on objectives. This process fosters transparency for the year ahead.

The open, respectful, and appreciative exchange contributes not only to this but also provides greater clarity for day-to-day activities

All employees and managers have access to the annual review conversation guide, which can be used induvidually to prepare for the review. Additionally, workshops and seminars organised by Professional and Personnel Development support preparation for the annual review. The review should be conducted in a spirit of trust, appreciation, and respect, within a pleasant and appropriate environment. The appointment for the annual review should be scheduled with sufficient time allocated.

All managers from administrative departments, staff units, and central services are obliged, in accordance with Service Agreement Nr. 44 §2 (2), to offer an appointment for the annual review to all employees directly reporting to them, regardless of their status, contract duration, fixed-term employment, or age. Other organisational units are free to conduct the reviews if they so wish.

The dialogue takes place once a year. The manager issues the invitation at least two weeks in advance. Employees may decide freely whether to accept their manager’s invitation. There are no disadvantages should they choose to decline.

With mutual consent, confirmed by their signatures, the manager and employee document the contents of the annual review using the designated discussion guide. Both parties receive a copy of this document, which must be stored in compliance with data protection regulations until the next annual review or a change of manager, unless otherwise agreed. If necessary, an action sheet may be completed to forward to third parties should their involvement be required for implementing measures arising from the discussion.

The annual review is evaluated using an online confirmation form completed by the respective manager. Furthermore, quality assurance is ensured via an online feedback form.
