How do I become a coach?

Our team of trainers is constantly changing. Especially at the start of each semester, we often look for additional support in a wide variety of sports. That's why we always welcome new inquiries. Simply contact the sports organization with your sport!

You can send us a speculative application or apply here for the currently vacant trainer positions.

How do I introduce a new sport?

We are open to new sports and would be delighted if you would like to get involved in university sports. If you have an idea and would like to put it into practice, please contact the sports organization staff and present it to us!

How do I bill for my courses?

We provide a free billing form on our website that you can use to easily bill for your courses on a monthly basis.

To ensure that your bills are processed quickly, it is advisable to submit them to us by the 5th day of the following month so that you receive your payment by the middle of the month.

Please note: The original invoice must be submitted to us and cannot be sent by email.

The invoicing forms for Unisport and workplace health promotion can be found here. The forms are also available at the sports center office.

Who is eligible to participate in my courses?

All members belonging to groups A, B, or C are eligible to participate.

Group A:

  • Students at TU BS, HBK, and Ostfalia
  • Part-time employees in TVL 2-8 at TU BS, HBK, and Ostfalia, as well as trainees at TU BS, HBK, and Ostfalia

Group B:

  • Employees and retired former members of TU BS, HBK, and Ostfalia
  • Guest students at TU BS (except for the Language Center and only upon presentation of a valid guest student ID), HBK, and Ostfalia
  • Employees of the Studentenwerk OstNiedersachsen
  • Spouses and registered partners of groups A and B for dancing (couples dancing) and tennis cards

Group C:

  • Employees and members of sponsors and cooperation partners; people who are admitted upon separate application and are thus allowed to participate. The minimum age is 18 years.
How and from whom do I get keys?

You will usually receive your keys at the beginning of your coaching activities. However, if you notice that important keys are missing, you can report this to the responsible employee at the sports organization or the workplace health promotion department. It is important that you report this to us in advance, as we do not always have every key available for immediate issuance. We also recommend that you take out key insurance.

Please note that you must return your keys immediately if they are no longer needed (e.g., due to a change of venue).

What is the participant list for?

Your participants sign the attendance list before the start of each class so that you have an overview of who has attended your course.

Attendance lists are also useful because they make it easier for you to enter the number of participants present on your billing form and determine at the end of the semester how many participants actually attended your course.

It is also advantageous to submit the participant lists to us at the sports center at the end of a semester or course period so that we can evaluate the data and include it in our statistics.

How and when do I check my participants?

We recommend that you check your participants' tickets at the start of your course on the first day. Ideally, you should also ask to see a student ID card or similar. If a participant is unable to show you a course ticket, it is advisable to exclude them from the course, as they are not registered and therefore not insured.

Can participants who are not registered take part in my course?

No, all participants in your course must be registered. Only registered participants are insured by the Lower Saxony State Accident Insurance Fund.

How can I remove participants from my course?

In exceptional cases (e.g., failure to meet the specified course level), participants may be removed from the course. Cancellation will be made after consultation with the administrative office. We recommend direct communication between the participant concerned and our administrative office. Repeated absences by registered participants do not constitute an exceptional case.

What is self-service access?

Self-service access will be sent to you by email at the beginning of the semester. With this access, you can view current participant lists at any time, enter the total number of participants present per session, and contact your participants by email in important cases. If you do not receive self-service access, please contact the responsible staff member at the sports organization before the first course date.

How will I be paid?

You will be paid according to the currently valid framework fee and qualification structure for trainers.

Remuneration is based on fixed levels: the type of activity, the scope of support and effort involved, as well as qualifications and experience. Classification is carried out by the employee of the sports organization or the workplace health promotion program (BGF).

You will also receive your predetermined fee for substitute hours. Courses offered as free play/training are excluded from this. These are generally remunerated at €6.50.

What should I do if I need music?

There are portable music systems in some of the lockers and permanently installed systems on the walls of the halls (SpoRR, GyRR, CN). If you need music for your sports class, please contact the sports organization staff (by phone or email). We will then have the appropriate key ready for you at the office.

It is not possible to pick up the key directly without prior notice.

How can I use the equipment?

When you start working as a trainer with us, you will receive keys for the equipment cabinets relevant to your sport. When using the equipment, it is important to ensure that all equipment issued is collected again in full and undamaged at the end of the course and returned to its designated place.

Who should I inform if sports equipment and/or materials are damaged?

If sports equipment is damaged, please inform the staff member of the sports organization as soon as possible. Ideally, you should send an email with a description and photos of the damage. We will inspect the equipment and repair or replace it if necessary.

Are there any regulations regarding the purchase of new equipment?

If you need equipment for your course, always contact the sports organization staff in advance to discuss the order.

As a general rule, if new equipment is required, the sports organization must approve the purchase. Sports equipment can only be ordered through the sports organization of the sports center.

Can I participate in events, tournaments, and competitions with my sports course?

It is possible to participate in various external events. For more information, please contact the staff member responsible for competitions and events.

Do I need a valid first aid certificate?

 

We recommend that you, as a trainer, always have a valid first aid certificate, as you never know what might happen during a course. With a first aid certificate, you are prepared for emergencies and can respond if your participants injure themselves.

For those who do not yet have a (currently valid) first aid certificate, we offer regular first aid courses. In general, a first aid certificate is valid for two years and should therefore be refreshed regularly.

Who is insured in my course?

Students and employees of TU Braunschweig are covered by accident insurance through the Landesunfallkasse Niedersachsen (Lower Saxony State Accident Insurance Fund) for all official university sports events, in addition to their private insurance coverage.

This insurance coverage applies provided that a) the event is officially organized by the university sports department, b) the trainer is appointed by the university sports department, c) the injured person is officially registered for this course, and d) the injured person is a member of the cooperating universities (FH Ostfalia, HBK) and is not a civil servant. Participants in group C are excluded.

What if someone gets injured in my course?

If an accident occurs in your course, you can advise your participant that they can fill out an accident report and submit it to us. We will then forward it to the Lower Saxony State Accident Insurance Fund, where the accident will be processed further.

For your information as a trainer:

1. An accident has occurred

Does an ambulance need to be called? Can the injured person continue to participate in the course? Does the injured person have to stop training?

2. Visit to an accident insurance consultant/stay in hospital (followed by a check-up with an accident insurance consultant)

3. Accident insurance consultant

An accident insurance consultant – or D-Arzt for short – is a specialist in surgery with a focus on accident surgery or a specialist in orthopedics and accident surgery with the additional designation “special accident surgery” who has received special approval from the professional associations. They are responsible for providing treatment after accidents at work and commuting accidents.

4. Completing the accident report 4.1 Distinction between employees, students, and civil servants (status)

The injured person is required to complete an accident report immediately after visiting a medical examiner.

This accident report must be completed and submitted to the Sports Center no later than 3 days after the accident.

5. The Sports Center will then forward the form to the relevant departments.

What are the benefits for me as a coach?

Coaches and representatives of the TU Sports Center have the opportunity to register for some sports courses at a reduced rate.

The beach pass can be used free of charge (booking required!). In addition, the fitness center and the tennis season pass can be booked at reduced rates.

Registration can be done via the Sports Center website and the course staff.

Credit Point (ECTS)

Furthermore, trainers who are students at TU Braunschweig can receive one credit point (ECTS) for their work as trainers. After submitting a written or oral reflection, the Sports Center will issue a corresponding certificate.

Can I receive further training as a coach?

You have the opportunity to receive further training at our sports center through various training programs, such as seminars, workshops, and the UniSportAllroundtrainerIn training program (USA).

You can also participate in external training courses offered by the General German University Sports Association (adh) or the University Association of Lower Saxony/Bremen (HVNB).

Currently, in-house training opportunities are limited to workshops and seminars offered by Student Health Promotion.

Am I entitled to take days off?

As a coach with us, you do not have a contractually agreed entitlement to vacation time. However, if you would like to go on vacation or are otherwise unable to work, we recommend that you notify us in advance and find a substitute yourself.

What should I keep in mind if I am sick?

If you are unable to teach your class due to illness, it is always a good idea to inform the staff at the sports center first.

Ideally, you will have already found a suitable replacement (another trainer at the sports center). If this is not the case, we will be happy to help you with your search.

However, it is important that you contact the sports organization. In an emergency, we would then cancel your sports course for you.

What is a coach meeting?

At the beginning of each semester, we invite all coaches at the Sports Center to a trainer meeting. Current topics are discussed and debated at these meetings. You also have the opportunity to express your suggestions, requests, or criticism at these meetings and to exchange ideas with other coaches.

Will I receive feedback from my participants?

After a course has ended, participants in your course have the opportunity to fill out a feedback form in which they can provide information about the coach, the sports facility, and the course content, among other things. This is then forwarded to the sports center and evaluated by us.

Upon request, we will be happy to send you the evaluated data.
